Job tracking software for small manufacturers: what to look for
Job tracking is the first thing most manufacturers try to digitise, and it is where a lot of software gets abandoned within six months. The failures are predictable, and nearly all of them come down to the same thing: the system was chosen by someone who does not use it.
The test that predicts adoption
How long does it take an operator to update a job status? If the answer is more than a few seconds, the system will not be kept current. Not because people are lazy — because they are mid-task, hands are dirty, and there is a queue behind them. Every extra tap is a reason to update it later, and later becomes never.
What genuinely matters
- Speed of input at the workstation. Large touch targets, few fields, no scrolling on a tablet.
- Status visible without logging in. A screen on the wall beats a system people must open.
- It matches your actual stages. If you have to map your process onto someone else's terminology, expect confusion for months.
- Works offline or degrades gracefully. Factory wifi is rarely as good as the office assumes.
- Someone can correct a mistake without a support ticket.
What matters less than the sales pitch suggests
- Mobile apps. Most shop floors want a fixed tablet at a station, not a phone app nobody installs.
- Extensive dashboards. Managers look at these weekly at best; operators never do.
- Integrations you have no immediate plan to use.
- AI features. Almost always a wrapper over reporting you would rarely open.
The three routes
Off-the-shelf job tracking
Fastest to start, predictable cost, and genuinely fine if your process is conventional. The risk is per-seat pricing — the moment you want every operator to have access, the cost model that looked reasonable for five office users becomes uncomfortable.
A module of a larger MRP or ERP
Sensible if you are already committed to that platform. Less sensible as a reason to adopt one. Job tracking modules inside big systems are often the least-loved part of the product, built for compliance rather than for the person standing at a bench.
Built for you
Worth it when your process is specific enough that the alternatives need constant workarounds, or when you want operator access without per-seat costs. The trade-off is a longer lead time and needing a developer who will hand over properly. Ask about code ownership before anything else.
Questions that expose a bad fit
- Can I see an operator use it, not a salesperson?
- What happens when someone marks the wrong job complete?
- How does it handle a job that goes back a stage for rework?
- What does it cost when every operator needs access?
- Can I export my data, in full, whenever I want?
That third question is the one that catches most systems out. Rework is normal in manufacturing and a surprising number of tools model production as a one-way flow.
