A workshop system built around how a garage actually works

A bespoke system for a UK mechanic and MOT garage covering the full workshop workflow — booking in, servicing, parts, invoicing and customer history — designed around their process rather than a generic template.

The problem

Workshop activity was spread across separate places — bookings in one system, job notes on paper, parts chased by phone, invoicing done separately afterwards.

Customer vehicle history was difficult to retrieve, so returning customers meant reconstructing what had been done previously.

Different job types — MOT, service, repair — need genuinely different checks, which a single generic job sheet handles badly.

What we built

  • A live job board showing each vehicle in, its current status and the technician assigned.
  • Separate checklists per job type, so an MOT, a service and a repair each follow their own process rather than a shared lowest common denominator.
  • A parts tracker with supplier ETA and stock flags, so waiting-on-parts is a visible state rather than something held in someone's head.
  • Customer and vehicle history in one place, with service reminders.
  • Invoicing built in, with itemised labour and parts.
  • Role-based access for manager, service advisor and technicians.

What changed

  • The whole workshop workflow runs in one place instead of across several disconnected ones.
  • Vehicle history is available immediately when a returning customer books in.
  • Job status and parts delays are visible without asking around the workshop.
